This article will teach you how to move undeposited customer payments into a bank account deposit.
Banking → Deposits moves customer payments sitting in undeposited funds into the bank account you actually deposited to. This mirrors shop reality: a drawer or card batch goes to the bank as one slip, not as fifty individual invoice payments on the bank feed. Matching deposit dates to processor batches makes reconciliation tractable.
Steps
- Open Banking → Deposits.
- Click New Deposit.
- Select the customer payments to include in this batch.
- Choose the deposit (bank) account and the date on the bank slip.
- Review the deposit total against your processor report or cash count.
- Save the deposit.
- Open the bank register and confirm undeposited funds decreased by the same amount.
Conclusion & best practices
Deposit the same groupings your bank statement shows to make reconciliation painless. Do not leave large undeposited balances sitting for weeks — they hide cash on the balance sheet and confuse owners. If a payment was deposited twice, reverse the duplicate deposit rather than deleting individual invoice payments.
