How to create an invoice in Books?

This article will teach you how to bill a customer, review tax and totals, and finalize so the invoice posts correctly.
Invoices bill customers and, when finalized, post to the general ledger and decrement stocked items. Create them directly under Orders → Invoices or convert from a quote/work order to preserve line history. Displayed currency amounts should use formatted numbers with thousands separators in the Books UI.
Steps
- Open Orders → Invoices.
- Click New Invoice, or convert from a work order/quote.
- Confirm customer, location, and line items.
- Review tax, discounts, and totals — verify formatted currency matches what you expect to collect.
- Save or finalize according to your workflow.
- If stock is insufficient, resolve inventory or adjust lines before finalizing.
- Collect payment separately under Payments if the invoice remains open.
Conclusion & best practices
Void reverses journal entries and stock when applicable; deleting a voided invoice must not reverse again. Prefer void for mistakes on posted documents instead of silent edits. Never delete a voided invoice expecting another reversal — that pattern corrupts JE and average cost.
