How to generate SFTP credentials for a vendor in Sync?
TB Sync · vendors · Last updated September 15, 2026 · Version 1
This process works in apps: TB Sync
This article will teach you that Tire Base generates the SFTP host, username, password, and port, how to provision them in Vendors, and how to share them with a supplier so they can drop inventory files.
You do not get FTP credentials from the supplier, and you do not ask Tire Base support to type them in. When you add an FTP / SFTP Vendor, Sync creates a dedicated folder on Tire Base’s SFTP server (ftp.tirebase.io) and shows you the URL, username, password, and port. You copy those details and send them to the vendor. They drop their inventory file on a schedule; Sync picks it up and updates Inventory Catalog. This is the opposite of Inventory Share, where you enter a customer’s FTP server to send files out.
Steps
- Open Sync → Vendors (the page title is Vendor Connections). Click Vendor Connection, or Add First Vendor if you have none yet.
- In Add Vendor Connection, choose FTP / SFTP Vendor. The card says the vendor drops inventory files via SFTP and that we auto-generate credentials.
- Enter Vendor Name. Optionally fill Friendly Name, phone, address, and Purchase Order Email. Under Link Vendor Account, select an existing vendor account or Create a New Vendor for Me — this is required before you can provision.
- Click Provision SFTP. Wait until the screen says SFTP Credentials Ready. Sync shows URL (sftp://ftp.tirebase.io), Username, Password, and Port (2222).
- Click Copy next to each field, or Copy All, and send the details to the vendor. Tell them to connect with protocol SFTP (SSH File Transfer Protocol) — classic FTP on port 21 will not work.
- Open the vendor later and use the Credentials tab to copy the same URL, username, password, and port again, or click Rotate if you need a new password. Then send the updated password to the vendor.
- Before the first file can process, open Field Mapping and map the file columns (part number, quantity, cost, and the rest). After mapping is saved, future drops update inventory automatically.
- Ask the vendor to drop a test file, then search a known size or part number in Inventory Catalog and confirm results appear under that vendor’s tab.
Conclusion & best practices
Tire Base owns the inbound SFTP server. Generate credentials in Sync, share them with the vendor, and keep the password private. If you instead need to send your inventory to a customer’s FTP server, that is Inventory Share — you enter their host, not ftp.tirebase.io.
